1 General

1.1 This policy on the processing of personal data (“Personal Data Policy”) describes how interpresents.com and all subdomains collects and processes information about you.

1.2 The Personal Data Policy applies to personal data that you provide to us or that we collect via our website: www.interpresents.com and all subdomains.

1.3 InterPresents ApS is the data controller for your personal data. All inquiries to InterPresents ApS can be made via the contact information listed under section 7.

2 What personal data do we collect, for what purposes and the legal basis for the processing

2.1 When you visit interpresents.com and all subdomains, we automatically collect information about you and your use of the Website, e.g. about what type of browser you use, what search terms you use on the Website, your IP address, including your network location, and information about your computer.

2.1.1 The purpose is to optimize the user experience and the functioning of the Website, as well as to carry out targeted marketing, including retargeting via Facebook and Google. This processing of information is necessary for us to safeguard our interests in improving the Website and showing you relevant offers.

2.1.2 The legal basis for the processing is the EU General Data Protection Regulation, Art. 6, para. 1, lit. a (consent to the use of cookies) and Art. 6, para. 1 lit. (legitimate interest in improving our website and being relevant in our marketing).

2.2 When you purchase a product or communicate with us on the Website, we collect the information you provide yourself and recipients, e.g. name, address, e-mail address, telephone number, payment method, information about which products you purchase and have possibly returned, delivery requests, and information about the IP address from which the order was made.

2.2.1 The purpose is that we can deliver the products you have ordered and otherwise fulfill our agreement with you, including to be able to administer your rights to return and complain. We may also process information about your purchases to comply with legal requirements, including bookkeeping and accounting. When purchasing, the IP address is collected for this purpose and to safeguard our interest in preventing fraud.

2.2.2 The legal basis for the processing is the EU General Data Protection Regulation, Art. 6, para. 1, letter b (mutual agreement on purchase), c (comply with a legal obligation) and f (legitimate interest in preventing, for example, fraud).

2.3 When you sign up for our newsletter, we collect information about your name and email address.

2.3.1 The purpose is to safeguard our interest in delivering newsletters to you.

2.3.2 The legal basis for the processing is Art. 6, para. 1, letter a (your consent).

2.4 When you our office and warehouse, there may be TV surveillance present. If this is the case, there will be a clear indication that there are cameras. The recordings may be reviewed by random checks, in the event of specific suspicion or in the event of other irregularities. If there is suspicion of a criminal offence, the recordings may be passed on to the police.

2.4.1 The purpose of the TV surveillance is to prevent, detect and document offences, including robbery, theft, assault, fraud and the like committed by both visitors and staff. It also contributes to identifying irregularities in connection with cash transactions and the like in the stores. In addition, the purpose is to create safety and security for staff, including the prevention of robbery, assault and problems in connection with payment.

2.5.2 The legal basis for the processing of personal data in connection with CCTV surveillance is Article 6(1)(f) of the General Data Protection Regulation. This is because we have a legitimate interest in preventing the types of crime mentioned above in our physical stores and other locations.

2.6 When you visit our social media profiles, we may process the information that you have made available through your social media settings, such as your reactions to our posts, shares and comments.

2.6.1 The purpose of our processing of your personal data is to market our business, respond to your inquiries, enable you to participate in our competitions and contact you if you win. When the social media platforms use personal data that they collect from our profiles for their own purposes, e.g. improvement of their advertising system, they process your personal data in accordance with their privacy policies.

2.6.2 The legal basis for our processing of your personal data is our legitimate interest in marketing our company, responding to your inquiries, giving you the opportunity to participate in a competition and contacting you if you win, cf. Article 6(1)(f) of the General Data Protection Regulation.

3 Recipients of personal data

3.1 Information about your name, address, e-mail, telephone number and order number and specific delivery requests will be passed on to the relevant carrier, who will deliver the purchased goods to you. Information may be entrusted to external partners who process the information on our behalf. We use external partners for, among other things, technical operation and improvements to the Website, sending newsletters and targeted marketing, including retargeting, as well as for your assessment of our company and products. Among other things, information about your name and e-mail will be passed on to TrustPilot so that an invitation can be sent on our behalf to rate us on TrustPilot’s website. If you choose to make a review, TrustPilot will become the data controller for the information provided. These companies are data processors and, under our instructions, process data for which we are the data controller. The data processors may not use the information for any purpose other than fulfilling the agreement with us and are subject to confidentiality of this. We have entered into written data processing agreements with all data processors that process personal data on our behalf.

3.2 When using data processors established outside the EU/EEA, we will ensure compliance with valid transfer guarantees in the form of the EU Commission’s standard contractual clauses in accordance with Article 46 of the General Data Protection Regulation. If you would like a copy of the standard contractual clauses, you are welcome to contact us.

4 Your rights

4.1 In order to create transparency regarding the processing of your information, we, as the data controller, must inform you of your rights.

4.2 Right of access

4.2.1 You are entitled at any time to request information from us about, among other things, what information we have registered about you, what purpose the registration serves, what categories of personal data and recipients of information there may be, as well as information about where the information originates.

4.2.2 You have the right to receive a copy of the personal data that we process about you. If you would like a copy of your personal data, you must send a written request to support@interpresents.com. You may be asked to provide documentation about who you say you are.

4.3 Right to rectification

4.3.1 You have the right to have inaccurate personal data about you corrected by us. If you become aware that there are errors in the information that we have gathered about you, you are encouraged to contact us in writing so that the information can be corrected.

4.4 Right to erasure

4.4.1 In certain cases, you have the right to have all or some of your personal data deleted by us, e.g. if you withdraw your consent and we do not have another legal basis for continuing the processing. To the extent that continued processing of your data is necessary, e.g. for us to comply with our legal obligations or for the establishment, exercise or defence of legal claims, we are not obliged to delete your personal data.

4.5 Right to restriction of processing to storage

4.5.1 In certain cases, you have the right to restrict the processing of your personal data to storage only, e.g. if you believe that the information we process about you is incorrect.

4.6 Right to data portability

4.6.1 In certain cases, you have the right to receive the personal data that you have provided to us in a structured, commonly used and machine-readable format and to transmit this information to another data controller.

4.7 Right to object

4.7.1 You have the right to object at any time to our processing of your personal data for direct marketing purposes, including profiling to target our direct marketing.

4.7.2 You also have the right to object at any time, on grounds relating to your personal situation, to the processing of your personal data that we carry out on the basis of our legitimate interests, cf. points 2.1 and 2.3.

4.8 The right to withdraw consent

4.8.1 You have the right to withdraw consent that you have given us for the processing of personal data at any time. If you wish to withdraw your consent, please contact us at support@interpresents.com.

4.9 The right to complain

4.9.1 You have the right to lodge a complaint at any time with the Danish Data Protection Authority about our processing of your personal data. Complaints can be lodged, among other things, by email at dt@datatilsynet.dk or by telephone at +45 33 19 32 00.

5 Deletion of personal data

5.1 Information collected about your use of the Website, cf. section 2.1. will be deleted at the latest when you have not used the Website for 1 year.

5.2 Information collected in connection with your registration for our newsletter will be deleted when your consent to the newsletter is withdrawn, unless we have another basis for processing the information.

5.3 Information collected in connection with purchases you have made on the Website, cf. section 2.2 will generally be deleted 3 years after the end of the calendar year in which you made your purchase. However, information may be stored for a longer period if we have a legitimate need for longer storage, e.g. if it is necessary for legal claims to be established, asserted or defended, or if storage is necessary for us to comply with legal requirements. Accounting material is stored for 5 years until the end of a financial year to comply with the requirements of the Danish Accounting Act.

6 Security

6.1 We have implemented appropriate technical and organizational security measures to protect personal data against accidental or unlawful destruction, loss, alteration or deterioration, and against unauthorized access or misuse.

6.2 Only employees who have a real need to access your personal data to perform their work have access to this.
